Syncing and Sharing with EndNote

EndNote allows you to synchronize EndNote Desktop with EndNote Web. How does sharing work in EndNote? With EndNote 21, you can: 

  • Share an existing library with up to 1,000 people. 
  • Share not only your library references, but also PDFs and annotations. 
  • Share with access restrictions such as "Read Only" or "Read and Write".

If you have an older version of EndNote: 

  • With EndNote x7, you can share your library with up to 14 other EndNote users.

  • With EndNote x8, x9 and 20 you can share with up to 100 others! 

NOTE: In order to sync and share your library, an EndNote Web account will be needed. To create an EndNote Web account, go to myendnoteweb.com.

How to Sync EndNote Desktop to EndNote Online

To sync your EndNote Desktop with EndNote Web: 

  1. Go to "Preferences" or "Settings" and then "Sync".
  2. Enter your EndNote account credentials.
  3. Click "Save".

If you would like to enable automatic syncing, check the "Sync Automatically" box before saving your preferences. This will regularly sync your Desktop library with your EndNote Web library.

If you do not opt to enable automatic syncing, it is a good idea to manually sync your library before exiting the program. From within the EndNote program, select Library from the toolbar and click "Sync." Alternatively, select Sync Status on your navigation bar and click the Sync now button.

NOTE:

  • Group Sets will not synchronize
  • From Groups will not synchronize
  • Smart Groups will not synchronize

However, standard Groups will synchronize!

How to Share Your EndNote Library

To share your EndNote Library with other EndNote users, you must first sync your desktop library with an EndNote Web account. Once you are synced with EndNote Web: 

  1. Go to "File" at the top of the toolbar and "Share". 
  2. A pop-up will appear, under "Invite More People", enter the person's email address and a message explaining that you'd like to share your library. They'll receive an email asking if they'd like to accept your invitation.
  3. Click "Invite" on the lower right. 

NOTE: It is necessary for both parties to have an EndNote Web account, so be sure to enter the email address that the person has used to create their EndNote Web account!

To open a library that has been shared with you, go to "FIle" and "Open Shared Library". It is important to sync shared libraries regularly to ensure that all changes are updated as you work.
