Getting Citations into EndNote

EndNote allows you to import references in a variety of different ways including: 

  • Importing single and multiple references directly from a database such as PubMed. 
  • Using EndNote's "Online Search" feature.
  • Importing using a saved PDF file from your computer. 
  • Manually

Below you will find instructions for the different ways to import a references into EndNote.

How to Import Citations from PubMed to EndNote

With EndNote, you can import single or multiple citations from a chosen database. PubMed will be used as the database of choice to demonstrate how to import references from a database. 

Step 1 of 3: Go to the PubMed results page.

  • From the results page, select the references you wish to export. Select "Send To" and then "Citation Manager".

Step 2 of 3: Create and open the file.

  • Select "Create File" to prompt a download. Once the file has been downloaded, proceed to open the file. 

NOTE: You can program your browser to automatically open files of this type in EndNote.

Step 3 of 3: Drag and drop your reference(s) to your group.

  • Once you have opened your file, the references contained in it will automatically be added to your EndNote library. They will also appear in a temporary "Imported References" section; simply drag and drop the reference over to your group.

How to Add Citations Using the Online Search Feature

EndNote's online search feature allows you to search for references from within the EndNote program and add it to your library. 

NOTE: This feature is primarily suitable for known references (ex. PMID, title, author). It is NOT recommended for topical searching. 

Step 1 of 3: Locate the "Online Search" function.

  • In EndNote, navigate to "Online Search" located on the left-hand side and select the database you wish to search in.

Step 2 of 3: Select a field or resource identifier type.

  • Run your search using the correct search field(s) from the dropdown menu(s).

Step 3 of 3: Add the citation to your group.

  • Once you find what you are looking for, drag and drop the citation to the appropriate group or right-click the reference and add to your group.

How to Import PDFs from Your Computer

In EndNote, you have the option to import folders containing multiple PDFs or single PDF. If the article's metadata is embedded in the PDF, EndNote will automatically build a reference for the PDF. If EndNote cannot find the metadata, you'll need to edit the reference manually.  

Step 1 of 2: Go to the "File" tab.

  • Go to "File" at the top of the toolbar and select "Import".

Step 2 of 2: Locate and Import the PDF file.

  • Locate the PDF that you would like to import into your library. When importing, make sure that you are selecting the correct file type by going to "Options" then "Import Options".  Finally, select "Import" to add the PDF file to your library.

How to Add Citations Manually

Sometimes you will be unable to import a citation and will need to add it manually. To manually add a citation in EndNote: 

Step 1 of 2: Create a new reference.

  • Go to "References" at the top of the toolbar and select "New Reference".

Step 2 of 2: Select the appropriate reference type.

  • Select the appropriate reference type by using the drop down feature and fill in the corresponding fields.

NOTE: Please note that EndNote defaults to Journal Article, but provides several other reference types. It is important to select the correct reference type as it will automatically update the fields needed to input.
