Scholars at Mount Sinai: Group Maintenance: Adding & Removing Researchers from Groups

Adding Researchers to Groups

All Scholars Editors have been assigned to their specific research unit within the Scholars admin portal based on prior PlumX administrator roles. Scholars Portal Research Units contain all researchers affiliated with your specific department or institute.

The following instructions will help with adding researcher profiles that currently exist within the Scholars admin portal to your research units if you are unable to locate them in your current Scholars research groups.

  • To add a researcher profile to your research unit, first, log in to the Scholars admin portal: https://scholars.mssm.edu/admin/ [Note: single sign-on has been enabled for this login. Please use your Mount Sinai email and network password as the login credentials for the admin portal]. 
  • Once in the Scholars admin portal, first, search for the person you wish to add to ensure that there is no existing profile. To search, select the Master Data tab from the top navigation bar.  Select Persons from the left sidebar. Remove the content filter by selecting the (X) next to My content.
  • Then enter the name of the Person to be added in the Search bar and click on the Search button.

  • If no existing profile is found, then create a new Person for the profile to be added.  See above article for instructions for creating a new Person.
  • After a new profile is created or the existing Person is located or, go to Master Data and click on Organizational units, then select Persons to view the complete list of Staff members in your research unit.

  • At the bottom of the list of the Staff list, select Add Persons and their content.

  • Search for the researcher you are adding (a search bar will appear on the left side of the popup window).
  • Select the entry for that researcher to be added and follow the prompts that appear, starting with Bulk edit step 1 of 4 as noted below (Step 1 of 4)

  • After selecting Next in step 1, a new screen will appear with the options noted below.  Click on the drop down menu for "Staff type" and select "Academic".  You may make other updates to the "Start date" and "Employed as" areas of the profile if needed (Step 2 of 4)

  • Confirm related content for Person selected and click on next to proceed (Step 3 of 4)
  • Confirm changes one final time by pressing "I Understand. Apply the Changes".
  • The final step brings you to the Summary confirmation screen as seen below.  You may select Close to exit the screen. The new researcher is now added to your unit.  Repeat steps for any new researchers to be added to your group.  

 

 

Adding A Researcher Profile

Manually Updating Research Unit Associations for Researchers

The following instructions are for manually changing the Research Unit associations for the researchers in your group.  

  • Go to Master Data à Persons à Search for persons, and then enter the name of the person whose affiliation is to be changed.

  • Click on the name of the Person from the search results to open the profile. This will open a new window that will default to the Person’s metadata information.

            

  • While in the Metadata view, scroll down to Organizational affiliations and select the minus button to delete the organization.  Save the profile before closing for changes to take effect.

Suppressing a Researcher Profile

Our policy for information management within the Scholars admin portal encourages the retention of all key information. As such, the following steps for profile suppression are required when making a profile inactive, thus removing its visibility from the ISMMS Scholars Portal public website.

 

Suppressing a Mount Sinai-affiliated researcher profile
  • To begin, log in to the Scholars admin portal (backend): https://scholars.mssm.edu/admin/ [Note: single sign-on has been enabled for this login. Please use your Mount Sinai email and network password as the login credentials for the admin portal]. 
  • Select the Master Data tab from the top navigation bar.  Select Persons from the left sidebar, then enter the name of the Person to be suppressed in the Search bar and click on the Search button.   

           

  • Select the Person from the search results.  This will bring you to the complete profile page in a new window.  Go to Edit then Metadata and scroll down to the Visibility area, which is located at the bottom of the profile metadata view.
  • Select Backend – Restrict to Scholars Portal users to suppress the profile, then hit Save. 
  • Once these steps have been completed, the profile information is now suppressed and will no longer be visible on the Scholars Portal public site.  You will still be able to search within the Scholars admin portal to retrieve and reactivate the profile by selecting the Public – no restriction option in the profile Metadata / Visibility area if needed.

 

Suppressing a researcher profile who is no longer affiliated with Mount Sinai

 

When a researcher has left Mount Sinai and is no longer affiliated with the institution, in addition to suppressing the profile, the editor will also need to add an "end date" for all the organizational affiliations on the profile. 

  • On the Organizational Affiliations section of the profile, click on edit to change the dates of affiliation
  • Add an end date using the day/month/year format 
  • Click on Save at the bottom of the profile
